Terms of Service
Last updated 9 September 2026
These are the terms you agree to by using Vialkeeper. We've written them in plain English rather than the usual wall of capital letters, because terms nobody can read protect nobody.
1. What Vialkeeper is — and what it isn't
Vialkeeper is a personal record-keeping tool. It stores what you tell it about your medications, your doses, and your vials, and it does arithmetic on the numbers you enter. That is the whole of it.
Vialkeeper is not a medical device, a pharmacy, or a healthcare provider. It does not give medical advice and it does not recommend doses.
The reconstitution calculator converts numbers you supply. It has no idea what medication you actually hold, what concentration is really in the vial, or what your prescriber intended. A typo in equals a wrong answer out. Confirm every dose with your prescriber or pharmacist before you draw it. Never rely on Vialkeeper as your only check, and never use it in an emergency — call your local emergency number instead.
2. Who can use it
You need to be at least 18 and able to enter a contract where you live. The account is for your own records. Don't share your login, and don't use Vialkeeper to keep records on someone else's behalf in a professional or clinical capacity — it isn't built for that and it isn't certified for it.
3. Your account
You'll need a working email address, which we verify before anything opens up. Keep your password to yourself. Anything done through your account is treated as done by you, so tell us straight away at hello@vialkeeper.com if you think someone else has got in.
4. The free plan
Every account starts on the free plan and stays there until you choose otherwise. We don't ask for a card to sign up, nothing quietly starts charging you, and there is no trial period to run out.
On the free plan you keep the dose calculator, up to two medications, unlimited dose logging, weight tracking and the last fourteen days of your history. Reminders, vial inventory, cycles, estimated levels and your full history are part of Pro. Nothing is deleted for non-payment, and you can export everything you have logged — in full, without the fourteen-day limit — at any time and on any plan.
Accounts created before 13 September 2026 were given seven days of full access at signup. Those run to their original end date and then continue on the free plan described above.
5. Subscriptions and payment
- Monthly — 5.99 USD, billed every month.
- Annual — 39.99 USD, billed once a year.
Both plans renew automatically until you cancel. Prices are in US dollars, so if your card is in another currency your bank sets the conversion rate and may add its own fee.
Payments are processed by Stripe. Your card number never reaches us and we never store it — we only ever see the last four digits, the card brand, and whether a charge succeeded. Stripe's own terms apply to the payment itself.
If a payment fails, we'll keep your access open while Stripe retries over the following days and show you a banner asking you to update your card. If it still hasn't gone through after that, access pauses until it does.
We may change prices, but never on an existing subscription without telling you by email at least 30 days beforehand. If you don't like the new price, cancel before it takes effect.
6. Cancelling
Cancel whenever you like, from Settings → Subscription → Manage billing. There's no notice period, no retention phone call, and no form to fill in.
You keep full access until the end of the period you've already paid for. After that the app locks, but your medications, doses and vials stay in the database exactly as you left them — resubscribe a year later and they're all still there.
7. Refunds
If you cancel partway through a month or a year, we don't refund the remainder by default — you keep the access you paid for until it runs out.
That said: if you subscribed by mistake, were charged for something you didn't mean to buy, or the app was broken in a way that made it useless to you, email hello@vialkeeper.com and we'll sort it out. We'd rather refund you than argue with you.
8. Your records belong to you
Everything you enter is yours. We don't claim any ownership of it, we don't sell it, and we don't use it to train anything. We store it and show it back to you — that's the extent of our interest in it. The Privacy Policy spells out exactly what we hold and who can touch it.
Ask us for a copy of your data at any time and we'll send it. Delete your account from Settings whenever you like and it all goes with it, immediately.
9. What we ask you not to do
- Break into other people's accounts, or try to.
- Hammer the service with automated requests, or attempt to take it down.
- Resell access, or share one account across a group.
- Use it to do something illegal, or to help someone else do something illegal.
- Reverse engineer the service, or copy it to build a competing one.
If you do any of these we may suspend or close your account. Where the situation allows it, we'll tell you why first and give you a chance to export your data.
10. Availability
We work to keep Vialkeeper running, but we can't promise it will never be down. Hosting providers have outages, updates occasionally break things, and maintenance sometimes has to happen. Vialkeeper is provided "as is", without warranties of any kind.
Because of that, don't let it be your only record of something that matters. Keep whatever backup you'd want if the service vanished tomorrow.
11. Limits on our liability
To the fullest extent the law allows, Vialkeeper is not liable for indirect or consequential losses, for lost data, or for any harm arising from a health decision you made with the app open. Our total liability for any claim is capped at whatever you paid us in the twelve months before it arose.
Nothing here limits liability that can't legally be limited — including for death or personal injury caused by negligence, or for fraud. Some jurisdictions don't allow certain exclusions, in which case those parts simply don't apply to you.
12. Closing your account
You can close your account yourself, at any time, from Settings — the Delete this account panel at the bottom of the page. We ask you to type your email address and your password to confirm, then everything goes immediately: your medications, your full dose history, your vials and your reminders. If you have a subscription, it's cancelled at the same moment.
There is no grace period and no recovery — once it's done we cannot get any of it back for you, so export anything you want to keep first. If you'd rather we did it, email hello@vialkeeper.com and we'll take care of it.
We may close an account that's been in breach of these terms, or if we have to stop operating the service. If we ever shut Vialkeeper down, we'll give at least 30 days' notice, refund the unused part of any annual plan, and give you a way to export everything.
13. Changes to these terms
We'll update these from time to time. For minor edits we'll change the date at the top. For anything that meaningfully affects you, we'll email you before it takes effect. Continuing to use Vialkeeper after that means you accept the new version.
14. Governing law
These terms are governed by the laws of the Province of Alberta and the federal laws of Canada that apply there, and the courts of Alberta have jurisdiction. If you're a consumer somewhere else, this doesn't take away rights your local law gives you.
Questions about any of this? Write to hello@vialkeeper.com. A person reads it.
